Remote design work succeeds when teams make context, decisions and feedback visible—not when everyone is online at the same time.
Create one shared source of truth
Keep the brief, product requirements, research links, decisions and design files in agreed locations. Label the latest version and record important changes. This prevents a distributed team from working from conflicting assumptions.
Use a short kickoff to align expectations
Confirm the target users, product goals, constraints, stakeholders, timeline and approval process. Discuss time-zone overlap and how urgent questions will be handled. A written summary after kickoff gives everyone the same reference.
Structure Figma files for review
Use clear page names, frames, components and version notes. Add annotations for interactions, responsive behaviour and unresolved questions. Keep exploration separate from the approved direction so reviewers can understand what needs a decision.
Give feedback that can be acted on
Replace vague comments such as “make it cleaner” with the observed issue and intended outcome. For example, identify which action is hard to find and what users need to understand sooner. Attach feedback to the relevant frame or flow.
Protect focused design time
Batch feedback into agreed review windows and identify which decisions are blockers. Not every comment needs a meeting. Reserve live calls for complex trade-offs, workshops and walkthroughs; use written updates for routine progress.
Connect design and development early
Invite developers to review feasibility, component behaviour and edge cases before final handoff. Discuss loading, empty, error and success states as well as responsive layouts. Early collaboration can surface implementation constraints while changes are still inexpensive.
Final thoughts
Distributed teams do not need constant meetings to make good design decisions. They need clear ownership, organised artefacts, actionable feedback and a predictable rhythm for review and handoff.
